2. Information we collect

• Account data: name, email address, hashed password. Required to use the service.
• Audio recordings: audio files you voluntarily upload to the platform.
• Transcriptions: text automatically generated from your recordings using AI.
• Structured notes: documents generated by AI from transcriptions based on your selected template.
• Usage data: registration date, recordings processed, template selection, language preferences.
• Payment data: processed entirely by Stripe. We do not store card numbers or financial details on our servers.

3. How we use your information

• Providing the service: audio transcription and AI-powered note generation.
• Account management and authentication.
• Payment processing and billing.
• Service-related communications (changes, incidents, updates).
• Service improvement and technical troubleshooting.

5. Your rights

Depending on your state of residence, you may have the right to:

• Access: request a copy of the personal data we hold about you.
• Delete: request deletion of your personal data and account.

6. Data retention

• Account data: retained while your account is active. Deleted within 30 days of account closure.
• Recordings, transcriptions, and notes: retained while your account is active. You can delete them at any time.
• Billing records: retained as required by applicable tax law.

7. Security

• Encryption in transit (TLS) and at rest.
• Passwords hashed with industry-standard algorithms.
• Row Level Security — each user can only access their own data.
• Logical data separation between users.

8. AI-generated content

Transcriptions and notes are automatically generated by artificial intelligence systems. AudioNotes does not guarantee the accuracy, completeness, or fitness of generated content for any specific purpose. You are solely responsible for reviewing, validating, and using the generated content.

9. Your responsibilities

You are solely responsible for the content you record, upload, and process. This includes:

• Obtaining consent from all individuals whose voices are recorded, as required by applicable federal and state laws.
• Complying with all professional and legal obligations applicable to your activity.
• Not recording or processing illegal content.
• Reviewing and validating all AI-generated content before use.

10. Cookies

We use only essential technical cookies for authentication and preferences (language, theme). We do not use tracking, advertising, or third-party analytics cookies.

11. Children

AudioNotes is not intended for use by anyone under 13 years of age. We do not knowingly collect personal information from children under 13. If we learn we have collected such data, we will delete it promptly.

12. Do Not Sell or Share

We do not sell or share your personal information as defined by the California Consumer Privacy Act (CCPA) or any other state privacy law. Your data is used solely to provide the service.

13. Changes to this policy

We may update this policy from time to time. We will notify you of material changes by email and/or notice in the app at least 15 days in advance.
